Q. Are the standards/protocols/procedures currently in place, or are they to be developed during the contract period?

A. Some of the standards & protocols have been developed, others are in draft form. The contractor may need to assist in ongoing documentation of compliance with the standards and protocols. Access to the forms that have currently been created will be shared with the grantee that is awarded the funds.

Q. Where can I find the Appendix/Forms that contains the Affirmative Action Data Page?

A. No affirmative action form is required at this time. A certification may be required upon execution of the contract.

Q. How many services would need to be surveyed in order to update the provider and service information in the database?

A. There are agencies, services and site locations in the database, and these services will fluctuate ongoing. We anticipate that there will be a minimum of 30,000 plus services and site locations attached to approximately 15,000 agencies as new data is entered.

Q. What is the "provider annex" mentioned in the RFP?

A. This is an existing tool that allows providers to put information directly into the web site. Data is posted when review and approved by the database manager. The outreach and marketing of the provider annex will need to be managed by the contractor, as will the review of the data.

Q. Does the MBA have their own "project management standards?

A. Project Management is in place for this project, and follows generally accepted PMI standards.

Q. What documentation is required as part of the package on the certification of database managers?

A. Refer to the certification guidelines for data managers from the Alliance of Information and Referral Systems (AIRS) whose website is www.airs.org

Q. How often are workgroup meetings and other meetings held?

A. Depending on the topic. If there is an urgent situation to be taken care of, there would be ad hoc meetings scheduled ASAP. Generally the meetings are held every 2 weeks.
